A Practical Guide to AI Models in Zapier Workflows

Updated

On this page

The useful question is not which AI model has the most impressive name. It is which available connection can perform your specific workflow task at an acceptable cost, with results your team can verify.

Key takeaway: Test the same inputs across candidate models and judge the output your workflow needs—not a general-purpose ranking.

Start with the supported connection

Zapier’s AI by Zapier documentation lists supported providers including OpenAI, Anthropic and Google Gemini, and describes model selection, prompts and output fields. It supports built-in connections or an eligible provider connection; availability and usage terms should be checked in the current documentation.

Do not copy a model list from an old comparison and assume every option is still present in your account. Record the exact connection and model you test, along with the settings and date.

Define a useful output

Choose one bounded job: classify a request, extract specified fields or draft a short summary. State what to do when the input does not contain an answer. Keep deterministic tasks such as copying an identifier separate from the AI judgment you want to evaluate.

Worked example (illustrative)

A fictional shop wants to label incoming requests as stock question, return question or other. Prepare a handful of invented messages, including an ambiguous request and one with missing information. Give each candidate the same allowed labels and require an explicit unknown or review result when appropriate.

Compare the saved output with your expected answer, then inspect how the next workflow step uses it. A label that looks correct in the preview is not enough if the next action reads the wrong field. Keep replies as drafts during the pilot.

Check cost and review effort

Record observed usage and any provider charges for the selected connection. Add the time spent checking and correcting results. A cheaper model is not automatically cheaper to operate if its output requires more rework.

Keep a small regression set and repeat it after changing a prompt, connection or model. Treat a single successful example as a demonstration, not proof of general reliability.

What to do next

Pick one job, compare two available models and document the differences. Choose the option that meets your required output and operating constraints, then monitor a limited rollout before expanding.
